Key Responsibilities

  • Maintain Standardized Filing Structures:Ensure that all study‑related documents are organized within an internal, standardized filing system to support easy access and compliance.
  • Support TMF Planning: Collaborate with the Project Manager (PM) and Project Coordinator (PC) to review, refine, and finalize the TMF Plan and TMF Index for each assigned project.
  • Document Tracking & Records Management:cCreate and maintain tracking forms, logs, and spreadsheets to monitor document flow, submission status, and filing activities.
  • TMF Maintenance & Document Handling: Work closely with project team members to retrieve, verify, and upload essential documents into the TMF in alignment with SOPs, system requirements, policies, and client expectations.
  • Document Collection & Follow‑Up: Communicate with project teams to request missing or pending documents and follow up as needed to ensure TMF completeness.
  • TMF Reconciliation Activities: Partner with PMs, PCs, project teams, and business partners to support TMF reconciliation as part of ongoing quality control and audit readiness.
  • CD Copy Requests & Archival Support: Generate requested CD copies for clients and assist with archiving full projects when required.
  • Archiving Duties: Perform archiving tasks for both paper and electronic materials, ensuring proper long‑term storage in accordance with organizational standards.
  • Departmental File Management: Maintain internal departmental files, including administrative, operational, and project‑specific documentation.
  • General Administrative Support: Assist with additional departmental tasks as needed, supporting smooth day‑to‑day operations.
  • Other Responsibilities: Perform any other duties assigned by the department to support overall clinical documentation and TMF operations.

Required Skills & Qualifications

  • Educational Background: A Life Sciences graduate (B.Pharm, M.Pharm, BSc, MSc, or related field) with 0–1 year of experience in clinical documentation, TMF management, or relevant administrative roles.
  • Flexible Education Criteria: Fortrea may also consider equivalent or relevant experience in place of formal educational qualifications, depending on the candidate’s skills and exposure to clinical research or documentation workflows.
  • Language Skills:
  • Speaking: English
  • Reading & Writing: English
    Strong command of English is required for communication, documentation, and global collaboration.
